Configuring Group Defaults
The Group Default menu allows properties to configure default settings for groups.
Navigate to Settings à System Setup à Group Defaults.
Refer to the following table and fill in the details.

Allow Group Social Status |
When enabled, allows user to create group bookings with booking status as Social. When disabled, the Social option will not be displayed in the Booking Status field of the Create Booking screen. |

Hold Group Master Postings Until Check Out |
When enabled, any posting made on the guest folio, which has a routing default set as per the group requirement will be on hold in the guest master folio until the guest check-out. The postings will be transferred through the application to group master folio after checkout. When disabled, the posting will directly be transferred to the group master account as soon as it is posted in the guest master folio. |

Group Master Check In Warning |
When enabled, if a group attendee checks in at the property before the group master, system displays a message stating that the Group Master has not checked in yet. When disabled, the message is not displayed. |

Do Not Default Pickup First Days Rate |
When enabled, the Default All Rates to First Day’s Rate flag in Single Pickup and Batch Pickup screens is disabled by default. When disabled, the Default All Rates to First Day’s Rate flag in Single Pickup and Batch Pickup screens is enabled by default. |

Taxes To Obey Tax Exempt Settings On Individual Stays Only |
When enabled, the tax exempt settings on the individual reservations on the booking are preferred over the group tax exempt settings. |

Group Tariff Code |
Select a default tariff to be displayed while creating an account or a booking. User can change this value on the accounts/bookings as preferred by the guest. |

Allow Booking ID Edit |
When enabled, the Booking ID field in the Create Booking screen allows users to manually enter a booking ID or use a system generated booking ID. When disabled, the Booking ID field in the Create Booking screen displays the system generated booking ID and the user cannot modify it. |

Auto Generate Account Number |
When enabled, the Account Number field in the Create Account screen displays a system generated account number while creating an account. User can modify the account number if desired. When disabled, the Account Number field in the Create Account screen does not auto populate the account number, user can either enter an account number or click Generate to use a system generated account number. |

Allow Transient Number on GRC |
Enabling this flag allows users to display the transient number of the walk-in guest in Visual GRC page. |

Allow Rate Changes to Updates Pickups |
When enabled, if changes are made to booking rates, system displays a message stating if the rate change must be applied for existing bookings and the user can select Yes or No to update/not update the rates of existing bookings. When disabled, system will not display any messages and the changes made to booking rates are applied only for future bookings. |

Enable Net Line |
When enabled, the Net Rooms field will appear in the Room Block Calendar View section in the Rooms tab of a group booking. This field allows users to add net rooms to the booking. |

Default Cut Off Date |
The number of days for calculating the cutoff date for bookings. Only zero and negative values are supported. For example, if the group arrival date is 30th October, and the value entered in this field is -10, the cutoff date for the booking will be set as 20th October. |

Default Contracted Due Date |
The number of days after the booking date that must be set as a default contract due date for new bookings in Tentative status. For example, if the booking date of a tentative booking is 30th October, and the value entered in this field is 10, the contract due date for the booking will be set as 10th November. Note: This field is applicable only for bookings that are in Tentative status. |

Days Before Auto Release |
The default number of days from when the rooms unoccupied can be automatically released for bookings. |
|
Room Block Days Restriction |
The default number of days to restrict the days blocked. For example, if the room block is set from 5th July to 7th July and the number of days for blocking a room is set to 2, then the rooms can be blocked for a reservation only two days prior 5th July and the reservation can be extended two days later not beyond that. |

Maximum Rooms on Availability Graph |
The maximum number of rooms to be displayed on the graph available in Visual GRC page. |

Maximum Number of Daily Tasks |
The maximum number of tasks assigned daily to the manager. |

Booking Default |

Select the default status for sleeping room bookings. |

Pickup Rooms When Status is |
Select if the rooms must be picked up for the group bookings on Definite or Tentative status. |

Select if the accounts must be by default for company, travel agency, wholesaler, or all accounts. |

Allow Pickups for Tentative Groups |
When enabled, allows groups to pick up rooms even when the booking status is Tentative. |

Auto Create Group Master on Booking Creation |
When enabled, a guest record for group master will be created as soon as a booking is created. The created guest record will have the booking name as first name and group master as second name. |

Auto Master Folio Routing Departments |
Select the post type departments that must be routed to master folio by default. This drop-down list is displayed only if Auto Create Group Master on Booking Creation flag is enabled. |
|
Use Same Booking Number as SNC |
When enabled, bookings created from Agilysys Sales Catering will have the same booking ID in Agilysys Versa. |
