Overview

This guide explains in detail the options under the Settings module, which enable users to configure property information, create users, set up default configurations for room and housekeeping, reservations, group bookings, and other system switches. It also helps users set up tariffs and packages for reservations at the property, OTA information, guest transportation and other requirement information, default letters, notifications, card, and tag templates, manager information, and so on in Versa.

The Settings module in Versa contains the following menus:

  • Setup - This menu includes options that enable users to create building codes, room types, groups, features, and set up rooms. It also includes other settings related to single or group bookings and guest services.

  • Rates - This menu includes options that enable users to create tariffs, set room rates, increments per person, and daily restrictions.

  • Package - This menu includes options that enable users to create package plans, set up package plan components, define package class codes, and package component categories.

  • User Setup - This menu includes options that enable users to create user roles, new users, and assign roles. It also helps provide user access to the various modules in Versa and configure system passcodes.

  • Utilities - This menu includes options that enable users to create distribution lists, templates, customize form designs, combine guest records and so on.

  • Inventory - This tab displays the real-time inventory details of all retail items created in the Retail Setup menu.

  • Retail Setup - This menu includes options that enable users to create and manage the retail items’ information, set up payment methods, discount types, credit card terminals, and vendor details.

  • Commission Setup - This tab enables users to set commission values for retail items created in the Retail Setup menu.

  • Interfaces - This menu includes settings that enable integrations with Agilysys products (such as rGuest Express, Agilysys Spa, Agilysys Golf) and other vendor interfaces.

  • System Setup - This menu includes options that enable users to configure the property information and set other system default settings for Versa.

  • Budget Setup - This menu includes options that enable users to set daily and monthly targets for rooms setup and room revenue at the property. Users can also set budget targets for managers of various departments.

  • Template Setup - This menu includes options that enable users to create booking templates, comment templates, and set up sleeping room components for group reservations.

  • Maintenance Setup - This menu includes options that enable users to create the maintenance categories, parts categories, set up equipment locations, parts inventory locations, and preventative maintenance defaults.

  • Housekeeping Setup - This menu includes options that allow users to create housekeeping sections, service periods, seniority codes, types of housekeeping services, customized housekeeping services, and set up housekeeping service fees for owners or guests.

  • Housekeeping and Maintenance Staff Creation - This tab allows users to create records of housekeeping and maintenance staff at the property.

For features/functionality that require user access through breakpoints, the appropriate breakpoint is documented in the following format in the respective sections:

Breakpoint: Breakpoint Number - Breakpoint Name (System - Sub System)
For example, Breakpoint: 60005 - Set Room Conditions (Front Office - Front Desk)

If the breakpoint is not enabled for a feature/functionality, the message, The user does not permissions to perform this action, is displayed along with the details of the breakpoint that must be enabled for that user role.
