Creating Contacts

Navigate to Groups à Contacts.

Click Create Contact.

Refer to the following table and fill in the fields in the Personal Information tab:

Field

Description

Account

Displays the account under with the contact is being created.

Title

The forms-of-address that precedes the guest name. Users can select the title for the guest from the available options in the drop-down list.

Contact Type

Select a type of contact from the Contact Type drop-down list.

First Name

The first name of the contact.

Last Name

The last name of the contact.

AKA

The other name or nickname of the contact, if any.

Company

Name of the organization that the contact work in.

Job Title

The official designation of the contact.

Active Contact

When enabled, indicates that the contact is active.

Primary Contact

When enabled, indicates that the contact is the primary contact for all communications. A primary contact cannot be deleted or made inactive.

Navigate to Contact Information tab.

Refer to the following table and fill in the fields:

Phone

Select if the contact is a Home, Office, or Mobile contact.

Country Code

The country calling code for the contact number.

Phone Number

The phone number of the contact. Users can add multiple phone numbers by clicking on the plus icon.

Primary Contact

When enabled, indicates that the phone number is the primary number for all communications.

Private Contact

When enabled, indicates that the phone number is private, and the contact does not prefer to be contacted by the property at that number. 

Email

Select if the email address is an official email address or personal email address and enter the email address. Users can add multiple email addresses by clicking the plus icon.

Primary Email

When enabled, indicates that the email address is the primary email address for all communications.

Private Email

When enabled, indicates that the email address is private, and the contact does not prefer to be contacted by the property at that email address. 

Pager Number

The pager number of the contact.

Address

Address

The address details of the contact. It can contain up to 255 characters. Users can also add multiple address lines by clicking the plus icon.

City

The city where the contact is from. It can contain up to 50 characters.

State

The state where the contact is from. It can contain up to 50 characters.

Country

The country where the contact is from. It can contain up to 50 characters.

Postal Code

The postal code of the contact’s residential address. It can contain up to 10 alphanumeric characters.

Navigate to Other Information tab.

Refer to the following table and fill in the fields:

Field

Description

Last Call Date

Displays the date on which the last sales call was made to this contact.

Established Date

Displays the system date on which the contact was created.

Birthday

The date of birth of the contact.

Anniversary

The anniversary date of the contact.

Trace Date

The date at which a reminder must be sent to the manager about the birthday/anniversary of the contact. After receiving the notification for an event, user must manually enter the trace date for the next event.

Comments

The comment related to the contact.

Click Save. The created contact is displayed in the grid.

Users can also perform the following actions in the Contact screen:

  • Modify a contact using the Edit option.

  • Delete a contact using the Delete option. A contact cannot be deleted when in use.

  • Activate or inactivate a contact by enabling or disabling the Active Contact flag.

  • Search for contact using the contact’s name, phone number, or email address.

  • View the inactive contacts by enabling the Show Inactive toggle.
