Viewing and Modifying Reservations

Users can modify details of the existing reservation by clicking on a reservation record.

Breakpoint: 55050 - Modify Reservation (Front Office - Reservation)

Perform the following steps to search for and modify the reservation record.

Navigate to Reservations à Reservations List.

Search for and select a guest or patron using the Search or Advanced Search options. The appropriate records are listed in the grid for selection.

Click on the reservation confirmation number. The View Reservation screen appears.

When the user clicks the guest’s last name or first name, the Edit Guest screen appears.

The following additional options will be displayed in the right pane of the View Reservation screen.

Check In (will only be displayed if the reservation status is Reserved.)

Check Out (will only be displayed if the reservation status is In House.)

The View Reservation screen provides users with a detailed overview of the reservation with the help of Package Details, Bill Details, Rental / Recurring Items, Payment Details, Market Segment, Group Booking Details, Policy Details, Stay Restrictions, Pet Details, Folio Summary, Room Rate Details, Tax Exempt, Other Details, Custom Information, and Routing Instructions cards. These cards are for information purposes only and users cannot edit/modify or delete any information in these cards.

Click Modify. The Edit Reservation screen appears.

Modify the guest details as preferred and click Update. The modified guest information is updated and saved.

When multiple users are modifying the same reservation at the same time, an intimation will now be displayed to all users except the first user who is making changes. The pop-up message, The reservation is currently being viewed by following user(s) “<Username>”, will be displayed in the Edit Reservation screen. Users can click OK to continue making changes if preferred. In cases where multiple users are modifying the reservation, the pop-up message will display the names of the last two users involved.

Users can be prevented from changing the positions of cards by default using Unlock Drag/Lock Drag icon. If the Unlock Drag icon is clicked, users can rearrange the cards as preferred. Once positioned, users can lock them again by clicking the Lock Drag icon.

The following cards can be moved:

  • Package Details

  • Payment Details

  • Rental/Recurring Items

  • Market Segment

  • Pet Details

  • Stay Restrictions

  • Other Details

  • Group Booking Details

  • Policy Details

In addition, users can perform the following actions for the guest when modifying the reservation record:

  • Create tasks for guest stay.

  • View stay history of the guest.

  • Add or remove some fields in the screen using the Configure option. To reset to the original configuration, click the Reset icon.

  • Maximize or minimize the screen using the Maximize/Minimize option.
